Vacancy: Program Admin Assistant
The Organization for Community Development (OCODE) is a grassroots national non-governmental organization that works to improve the lives of less privileged Tanzanians. It was established in 1999 and registered in 2003 under the Society Ordinance Act of 1954. It complied with the NGO Act of 2002 in March 2011. OCODE’s focus is on supporting and facilitating communities to realize the quality of basic education for children, community livelihood, and youth empowerment.

OCODE is one among several organizations in East Africa under the RELI network that are implementing a collaborative project entitled Assessment of Life Skills and Values in East Africa (ALIVE). The ALIVE project aims to promote the acquisition of life skills and values by children in East Africa through the development of contextualized assessment tools to measure life skills and values and advocacy initiatives to ensure these skills and competencies are embedded into the education systems across East Africa, particularly in Kenya, Uganda and Tanzania. In its second phase of implementation, OCODE will lead the implementation of the ALIVE initiative in Mainland Tanzania while also working closely with partners in Zanzibar, Kenya and Uganda.

Job Description: | Under the general direction and supervision of the Program Manager, the Program Admin Assistant will support and ensure the effective implementation of all ALIVE-related activities in Tanzania Mainland. The role will be primarily to provide administrative and logistics support to the ALiVE project within the organization. S/He will assist the Program Manager in proper planning, execution, communication, adherence and compliance to Tanzania regulations and procedures relating to continuous follow-ups, updating and routine reporting, and sound financial management. |
Roles & Responsibilities: | A. SUPPORTING PROGRAM ACTIVITIES
· Be familiar with and able to convey key messages and elements of the ALIVE project across the 3 main outcomes and main issues being addressed. · Organize ALiVE Tanzania program events including workshops, seminars, and other events. · Support Program Manager to facilitate meetings and workshops with partners and stakeholders. · Conduct monitoring visits and follow-ups with partners and stakeholders to track the progress of program activities. · Draft field reports and minutes soon after events and meetings · Liaise with ALiVE partners and stakeholders in the country to ensure smooth communication and coordination of ALIVE Tanzania implementation. · Support Program Officers in implementing day-to-day ALiVE activities.
B. SUPPORTING ALIVE PROGRAM ADMINISTRATION · Organize and set up all the ALiVE Tanzania meetings and manage the Zoom accounts. · Support management of the Co-PI Assessment shift scheduling and minute-taking · Coordinate, in partnership with admin staff in the organization, all logistics of the ALiVE Tanzania events including but not limited to; o Traveling arrangements o Venue procurement and set up. o Communicating with participants and invitees o Coordinating and Managing suppliers and service providers (including media) o Collecting, scanning, and storing all the receipts for payments. o Timely retirement of all the funds as soon as the events ends. · Support Program manager management of the ALIVE Tanzania budget including tracking spending and ensuring funds are well managed. · Support Program Manager for collecting all evidence to produce financial and narrative reports. C. COMMUNICATION AND DATA
· Correspond with program partners as needed/requested. · Support good documentation and maintenance of records of ALiVE Tanzania activities including minutes, reports, etc., and ensure online updating of such. · Support the collation and maintenance of ALiVE TZ data. · Support the Communication officer to create content for the ALiVE social media pages. · Utilize emails and WhatsApp groups to ensure smooth communication and regular updating of the ALiVE Tanzania secretariat and other relevant stakeholder groups.
D. OTHER · Attend, and fully participate in country and relevant regional staff meetings and retreats as required. · Write monthly and annual activity reports and use these as the basis for monthly and annual engagements/appraisals with a supervisor. · Perform such other duties as may be required from time to time. |
Education, Qualifications & Skills | Qualifications and Experience
· Bachelor’s degree in education, Finance, Social Science, or any other relevant field. · Previous relevant work experience is required. · At least 1 year of leading program administrative activities in a development program setting. · Experience in working with a program as big as ALiVE · Strong administrative skills, organizational skills, and attention to detail. · Proficient with computer technology and Microsoft Office applications · Ability to plan and organize program activities and events. · Knowledge of working in donor-funded projects is desirable. · Must have good communication skills including a good command of English and Swahili (speaking, writing) · Strong analytical skills are highly preferred. |
